2. What Data We Collect

When you submit an enquiry, we collect:

We do not collect sensitive financial information such as your UTR (Unique Taxpayer Reference), National Insurance number, company registration number, income figures, or bank details through our forms. Any such information is shared directly between you and the accountant you choose to engage.

3. How We Use Your Data

• To match you with accountants (Legitimate Interests / Contract): We share your enquiry details with up to three specialist contractor accountants in our vetted Harrow network.
• To follow up on your enquiry (Legitimate Interests): We may contact you by email or phone to confirm your enquiry or provide an update on your match.
• To improve our service (Legitimate Interests): We analyse anonymised, aggregated usage data to improve our matching process.
• Legal compliance (Legal Obligation): We retain certain records as required by UK law.
• Marketing (Consent only): We will only contact you for marketing purposes if you have explicitly consented. You can withdraw consent at any time by emailing us or clicking unsubscribe.

4. How Your Data is Routed to Accountants

This section explains precisely what happens to your data when you submit an enquiry — we are transparent about this because it is central to our business model:

1. You submit an enquiry form on our website, having confirmed your consent to this Privacy Policy.
2. Your enquiry data is received securely and stored in our enquiry management system (Google Workspace, operating under appropriate data processing agreements).
3. Our matching process identifies up to three contractor accountants in our Harrow network whose qualifications, specialism, location, and availability match your requirements.
4. Your name, contact details, location, and service type are shared with those matched accountants by secure email or our platform notification system.
5. Each matched accountant will contact you directly, typically within 24 hours.
6. Once your data is shared with an accountant, that accountant becomes an independent data controller for any engagement that follows. Their own privacy policy applies to the ongoing professional relationship.

We do not sell, rent, or share your data with data brokers, marketing lists, aggregators, or any third parties not described above.

Business model disclosure: We receive a small fixed referral fee from accountants in our network when a successful engagement is confirmed. This fee is paid by the accountant, not by you, and does not affect the fees the accountant charges you. This relationship is disclosed here and in our footer in the interest of full transparency.

5. Who We Share Data With

• Matched accountants: Up to three specialist contractor accountants per enquiry, as described above.
• Google Workspace: We use Google Sheets and Gmail to manage enquiry data. Google acts as a data processor under appropriate agreements.
• Google Analytics 4: Anonymised website usage data is processed by Google. You can opt out via the Google Analytics Opt-out Add-on.

6. Data Retention

• Enquiry data: 12 months from submission date, then securely deleted.
• Google Analytics data: 14 months per our GA4 configuration.
• Legal compliance records: Up to 6 years as required by UK law.

7. Your Rights Under UK GDPR

You have the right to: access your data, correct inaccurate data, request erasure (‘right to be forgotten’), restrict processing, receive your data in a portable format, and object to processing based on legitimate interests.
